Changing the User Settings in the System

In this video, I will show you how to change user settings in our system. I will guide you through finding the users in our system, accessing their profiles, and making necessary edits such as updating signature blocks, email details, and user permissions. It is important to note that each user should have a unique email and phone number. I will also explain how to configure user availability and demonstrate how to control the signatures that go out on our emails. No action is required from you, but this video will provide you with a better understanding of managing user settings in our system.

Okay in this video we're going to look at how we change the users in our system so to find the users in our system we go down to settings bottom of the screen to settings and then we go to my stuff and you'll see when you go to my stuff if you have more than one user so we have three users so theres

one user for the realty program theres one user for the foundation and theres one user for the insurance program within this example so i if i need to change anything like the signature blocks i can go to each one of these and click edit and i can see the load logo that's going to be displayed, the name

for this particular user, the email and the phone number. So the email and the phone number need to be different for each user, that's important. 1:06 And the calendar that we're actually associating this with so this is associated with the Donna Marie foundation calendar then we have an email block we can put our email details in here which will be for that user or this instance for the business we have user permissions that we can set we have a number of permissions that we can set for this user we can turn them on or we can turn them off so you may want to just give this user access to search certain or permissions and you can switch them off if you don't want that user to have access to those things like we can switch off the contacts view we can

switch off the marketing labels you'd only want to do this really for users who you employ and you can change the user roles so this is a user we might want to put it as an admin userwe're going to put this as a user and the reason we keep it as a user because if we had it as admin they can control the whole of our account and we don't want that to be the case we want them to control just the user and their user facilities what they have in their role.

Call and voicemail settings we pretty much leave that as is because we are we haven't got any call or voice voicemail settings that we need to set for this particular user and availability Again, we can set that up to whatever availability we want, Monday to Friday, between certain hours.

I would probably set this just to between 8 o'clock and 5 o'clock. In the afternoon as p.m. And then copy that down to all the all the points and calculate calendar configuration we leave as set and save that you can change from the master login you can change each one of these so you can go to the insurance

and you can have a look at the insurance you've got no logo yet weve got no signature block but we can put those in at some time in the future when we get that ready for that side of things ok and thats how we control signatures that go out on our emails it takes the users email signature block and puts

it into the emails that we have let's go back and we go to marketing email templates and I will just show you where those things come in. So we only have to make these templates once so we only make them for one business we don't need to make them for every business that doesn't need to be the case unless we got a different content in those messages but if we had the same content across all those messages we could have the same message

but just change this signature block and this is the reason we use a custom field so it says user dot email signature so that's where it takes the user that's logged in and their email signature for the logged in user and we can change this logo so that it will just take the user logo as well. that way we can have a single mail message across different businesses and they'll have a different signature block and a different logo coming in here and they'll have different details and in the lower section as well because they would all change.
